As a Customer Service & Order Management Specialist at arenaflex, you will be the primary point of contact for external customers and internal sales teams, guaranteeing that every order is entered correctly, priced accurately, and delivered on schedule. Your expertise will directly influence customer satisfaction, repeat business, and the overall efficiency of our order‑to‑cash cycle.

Role Overview

This hybrid position blends on‑site training with remote work flexibility. You will spend the first 3‑5 months mastering arenaflex’s ERP and SAP systems in a collaborative office environment, after which you will transition to a schedule of two days in the office and three days working from home. The role demands a keen eye for detail, strong communication skills, and the ability to juggle multiple priorities while maintaining confidentiality and professionalism.

Key Responsibilities

  • Pricing Management: Enter, update, and maintain customer pricing, terms of sale, quotations, and rebate structures in the ERP system, ensuring alignment with sales agreements.
  • Order Entry & Validation: Accurately input customer orders into SAP, following departmental procedures and confirming that all required data fields are completed.
  • Cross‑Functional Coordination: Liaise with the Sales group to clarify pricing requirements, communicate key account issues, and ensure that offers are correctly reflected in the Price Offer Management system.
  • Logistics Collaboration: Work closely with the plant shipping department to set realistic delivery dates, support production planning, and keep customers informed of shipment status.
  • Supplier & Transportation Follow‑Up: Track orders with transportation and warehouse suppliers, resolve any delays, and provide timely updates to customers.
  • Returns & Credit Processing: Manage returns, credits, and debits in SAP, adhering to established protocols to maintain accurate financial records.
  • Import/Export Coordination: Oversee imported product orders through the chain order process in SAP and coordinate third‑party supplier orders, ensuring compliance with international trade regulations.
  • Issue Resolution: Monitor and resolve customer complaints related to pricing errors, non‑conforming products, or delivery discrepancies, escalating to management when necessary.
  • Continuous Improvement: Identify opportunities to streamline order entry, pricing verification, and communication workflows, contributing to process‑enhancement initiatives.
  • Additional Duties: Perform other tasks as assigned by the Department Manager, supporting broader team objectives and special projects.

Essential Qualifications

  • High School diploma or GED; additional post‑secondary education is a plus.
  • 3–5 years of experience in customer service, accounts payable, order entry, or a related field.
  • Demonstrated experience with SAP or comparable ERP systems; proficiency in Microsoft Word and Excel.
  • Strong written and verbal communication skills, with the ability to convey complex information clearly.
  • Excellent organizational abilities and a collaborative interpersonal style.
  • Ability to input data quickly and accurately while thriving in a fast‑paced environment.
  • Proven capacity to multitask, analyze problems independently, and maintain confidentiality.

Preferred Qualifications & Experience

  • Background in export transportation, international business, or the industrial chemical market.
  • Hands‑on experience with import/export processes, especially within a multi‑product portfolio.
  • Order‑to‑Cash cycle expertise, including handling a diverse set of accounts and product lines.
  • Prior exposure to distribution or manufacturing environments, where coordination with multiple vendors is routine.
  • Familiarity with logistics, shipping, and third‑party supplier management.
  • Experience collaborating closely with sales and purchasing teams to align pricing and delivery expectations.
