Role Overview – Part‑Time Data Entry Associate

arenaflex is seeking a meticulous, bilingual (Spanish/English) Part‑Time Data Entry Associate to partner directly with our clinical teams. In this role, you will be the backbone of our data pipeline, ensuring that high‑priority clinical information is entered accurately, promptly, and in compliance with our rigorous standards. Your work will enable clinicians to access reliable patient data, make informed decisions, and deliver exceptional care through our advanced care portals.

Key Responsibilities

  • Read source documents—including handwritten notes, electronic forms, and scanned records—and enter data into designated fields with precision.
  • Translate data as needed to meet language specifications, ensuring both English and Spanish entries are accurate and culturally appropriate.
  • Collect, compile, sort, and verify data for completeness before entry, flagging any inconsistencies for review.
  • Perform data‑integrity checks by locating and correcting entry errors, or escalating issues to supervisors when necessary.
  • Upload virtual documents to the appropriate secure locations and maintain organized digital filing systems.
  • Generate and distribute data lists, spreadsheets, and reports that support clinical decision‑making.
  • Assist in creating or modifying databases to meet evolving needs of the clinical team.
  • Provide guidance to internal users regarding data requirements, status of paperwork, and best‑practice entry methods.
  • Communicate proactively with clinicians and support staff to meet high‑priority data entry deadlines.
  • Maintain confidentiality and compliance with HIPAA and other regulatory standards at all times.

Essential Qualifications

  • Minimum 1 year of experience in a high‑volume data entry environment, preferably within a healthcare or clinical setting.
  • Fluency in both Spanish and English, with the ability to accurately translate medical terminology.
  • Proficiency with multiple software platforms, including Smartsheets, Google Workspace (Docs, Sheets, Drive), and Microsoft Excel.
  • Ability to commit to 20 hours per week, with flexibility to adapt to varying task loads and timelines.
  • Exceptional time‑management skills, demonstrating the capacity to keep team members informed of priorities and progress.
  • Meticulous attention to detail, balancing speed with accuracy to meet strict data quality standards.
  • Strong written and verbal communication skills, enabling clear interaction with clinical staff and supervisors.

Preferred Qualifications & Additional Assets

  • Experience working with electronic health record (EHR) systems or patient care portals.
  • Familiarity with HIPAA regulations and best practices for data security.
  • Prior exposure to medical terminology in both English and Spanish.
  • Demonstrated ability to work independently while thriving in a collaborative, team‑oriented environment.
  • Certification in medical transcription, health information management, or a related field.

Core Skills & Competencies

  • Analytical Acumen: Ability to spot patterns, inconsistencies, and errors in large data sets.
  • Technical Literacy: Comfort navigating multiple digital platforms and learning new software quickly.
  • Communication: Clear, concise, and respectful interaction with clinicians, administrators, and peers.
  • Organizational Mastery: Systematic approach to filing, tracking, and retrieving virtual documents.
  • Adaptability: Flexibility to shift priorities as clinical demands evolve.
  • Ethical Integrity: Commitment to patient confidentiality and regulatory compliance.
