Team Assistant & Office Administrator

As a Team Assistant and Office Administrator at InvestorFlow UK Ltd, you will play a pivotal role in ensuring the smooth operation of the London Senior Team’s daily business requirements and objectives. In addition to this, you will work alongside the Office Manager to assist with the general day-to-day running of the London office. Your responsibilities will encompass a wide range of tasks, from administrative support to managing key processes. You will be a crucial part of our team, contributing to the overall success of our department and of the company.

You Will

  • Efficiently manage and maintain the schedules of the London Senior Team, where required.
  • Manage UK EVP’s Inbox where necessary and assisting with daily tasks as needed to optimise efficiency.
  • Arrange workshops and conference calls with large client and internal groups and across multiple time zones, as needed.
  • Manage event registration, travel, visa, and accommodation arrangements for the wider team.
  • Manage meeting room bookings, room setup and arrange working lunches.
  • Support the planning and execution of marketing events. Working closely with the Revenue team to align on objectives and logistics, and coordinating with the Marketing team to ensure consistency, maximum reach, and engagement.
  • Provide comprehensive administrative support to the Compliance team during audit season and beyond.
  • Collaborate with HR to prepare workstation equipment, account setup, and low-level IT support across all stages of the employee lifecycle.
  • Act as a point of contact for all visitors to the London office.
  • Plan and organise internal events, including Summer and Christmas parties and a monthly UK team update ("wine and cheese").
  • General office duties including ordering weekly office supplies.
  • You Have

  • Excellent organisational skills; capable of effectively managing competing priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication skills, both written and verbal, with a flexible and approachable manner.
  • The ability to work independently and as part of a team, taking initiative and working well under pressure
  • Strong attention to detail and a commitment to accuracy.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
