This is a remote position. Role Name: Administrative Assistant & Automations Specialist Schedule: Flexible hours, up to 30 per week Client Timezone: Pacific Time (PST) This is an exciting opportunity to transform a thriving fitness studio's operations while working remotely in a progressive, open-minded environment. You'll be instrumental in building automated systems from the ground up, managing daily operations, and creating efficient workflows that will directly impact the studio's growth. The ideal candidate will combine administrative expertise with systems thinking, helping to implement automation while maintaining the studio's unique voice and inclusive culture. Responsibilities

  • Design and implement automated workflow systems for student communications and marketing
  • Create and manage comprehensive drip campaign marketing initiatives
  • Develop standardized email templates and response systems
  • Manage daily customer communications while maintaining the studio's playful, trendy voice
  • Oversee student scheduling and booking system operations
  • Build and optimize new student onboarding processes
  • Monitor and respond to customer inquiries across various channels
  • Identify opportunities for process improvement and automation
  • Coordinate with studio leadership on strategic initiatives
  • Maintain and update operational documentation and procedures

Requirements

  • Proven track record as a self-starter who can identify needs and implement solutions independently
  • Strong communication skills with ability to maintain an engaging, progressive tone
  • Experience in creating and implementing automated workflows and systems
  • Demonstrated comfort with diverse, progressive environments and inclusive communications
  • Previous experience with customer service and email management
  • Proficiency in automation tools and marketing systems
  • Ability to manage booking/scheduling systems (experience with fitness studio software a plus)
  • Strong organizational skills with attention to detail
  • Open-minded perspective and comfort with body-positive, inclusive environments
  • Professional demeanor while maintaining authenticity and creativity
  • Ability to work independently and take initiative in identifying process improvements
  • Experience with or interest in wellness/fitness industry preferred
