About the position The Office Assistant II position involves performing a variety of routine to moderately difficult customer service, accounting, receptionist, records management, and database support functions under general supervision. This role is distinguished from the Office Assistant I by the greater range of office support functions performed with lesser direction, requiring more specialized knowledge of department procedures and standards. The position is part-time and temporary, with flexible work hours averaging eighteen hours per week. Responsibilities ? Types, formats, edits, revises, proofreads, and prints various reports and documents. , ? Answers, screens, and refers visitors and telephone calls; assists customers at a public counter and by telephone. , ? Maintains departmental personnel files and prepares personnel documents. , ? Copies, compiles, and distributes contracts, reports, and documents. , ? Makes and confirms travel arrangements; types itineraries and compiles expense reports. , ? May assemble agenda packets and ensure all information is accurate. , ? May take minutes and transcribe dictation; assists in preparing and distributing agenda packets. , ? May assist with preparation, tracking, and updating of budgetary data. , ? May provide direction to office support staff regarding work procedures. , ? Performs other related duties as assigned. Requirements ? Graduation from high school or equivalent and two years of increasingly responsible office support or secretarial experience. , ? Experience in a municipal government setting is highly desirable. , ? Knowledge of office administration practices and procedures, business communication, and correct English usage. , ? Ability to operate a computer using word processing software and type accurately at a necessary speed. , ? Ability to organize, set priorities, and exercise sound independent judgment.
