Position Overview

arenaflex is hiring a dedicated and motivated Remote Seasonal Customer Service Representative to serve as the front-line ambassador of our business. In this role, you will provide exceptional customer support to clients throughout the Midwest and South-Central United States, handling a high volume of inbound calls and emails while scheduling service appointments, preparing estimates, and processing payments. This is a fully remote position that requires a reliable home office setup, strong self-management skills, and a passion for delivering excellent service.

The ideal candidate is a polished communicator who can transition seamlessly between phone conversations and written correspondence, manage multiple priorities without losing focus, and maintain a calm and professional demeanor in a fast-paced, high-call-volume environment. Key Responsibilities

  • Customer Interaction Excellence: Handle a steady flow of incoming calls, addressing customer inquiries with empathy, accuracy, and professionalism. Respond to email requests promptly and thoroughly, ensuring every client feels heard and valued.
  • Appointment Scheduling and Coordination: Schedule service appointments efficiently, prepare accurate estimates for customers, and process client payments using arenaflex's established systems and procedures.
  • Issue Resolution Collaboration: Work closely with fellow team members, supervisors, and other departments to ensure customer issues are resolved completely and to the customer's satisfaction.
  • Communication Tracking and Reporting: Document all client interactions, communications, and activity in the company CRM and tracking systems. Generate reports as required to maintain visibility into customer trends and team performance.
  • High-Volume Call Management: Transition quickly between answering incoming calls and making outbound calls, sustaining an average of 8 to 10 calls per hour throughout each workday.
  • Multi-Tasking and Prioritization: Manage competing priorities effectively, balancing call handling, email response, scheduling, and administrative tasks without sacrificing attention to detail.
  • Additional Duties: Take on other responsibilities as assigned to support the team and contribute to the overall success of arenaflex's customer service operations.

Essential Qualifications and Requirements

  • Customer Service Experience: A minimum of three years of experience in customer service, call center operations, scheduling, or a closely related field.
  • Typing Proficiency: A minimum typing speed of 50 words per minute (wpm) with high accuracy.
  • Microsoft Office Skills: Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to convey information clearly, courteously, and concisely.
  • Remote Work Readiness: Previous work-from-home experience is preferred, along with the self-discipline and organizational skills needed to succeed in a remote environment.
  • Home Office Setup: A dedicated, distraction-free home office space, an up-to-date and fast laptop or desktop computer, and extremely fast and reliable internet access.
  • Schedule Availability: Ability to work 40 hours per week between 8:00 a.m. and 6:00 p.m. Central Time, Monday through Friday, with availability for one Saturday shift per month from 8:00 a.m. to 3:00 p.m. Central Time.
  • Composure Under Pressure: Comfort and confidence working in a dynamic, high-call-volume environment where priorities can shift quickly.
