Position Summary

arenaflex is seeking a dedicated and customer-focused Customer Service Representative to join our dynamic team in Brunswick, Ohio. This is an exciting opportunity for a motivated individual who thrives in a fast-paced, relationship-driven environment. The Customer Service Representative will be responsible for handling daily tasks associated with all customer accounts and providing essential support to our Account Managers.

In this role, you will serve as a vital communication bridge between our customers, suppliers, and internal Account Managers. You will provide quality customer service, coordinate supply chain activities, analyze customer needs, and ensure that every interaction reflects the excellence arenaflex is known for. Key Responsibilities

Customer Relationship Management

  • Respond promptly, professionally, and accurately to all incoming customer and Account Manager communications via phone, email, and instant message.
  • Personally exhibit, recruit, and coach associates consistent with arenaflex Core Behaviors, promoting a positive and productive workplace culture.
  • Champion and promote a culture of safety in every aspect of the role, ensuring all activities align with arenaflex safety standards and protocols.
  • Analyze and assess customer needs completely and accurately with efficiency, ensuring that no detail is overlooked.

Sales and Quotation Support

  • Collaborate with suppliers and Account Managers to identify, source, and price appropriate product solutions tailored to customer requirements.
  • Provide accurate quotes for product solutions in accordance with OS ticket and other arenaflex response time guidelines.
  • Develop a deep working knowledge of arenaflex products, services, policies, procedures, and best practices.

Order Processing and Fulfillment

  • Process customer orders, Return Material Authorizations (RMAs), and Guaranteed Test Orders with precision and care.
  • Purchase materials to fulfill customer orders in a timely manner.
  • Review and maintain P21 portals daily, monitoring for potential late orders, Return Material Authorizations, items not on a purchase order, and unapproved orders.

Problem Resolution and Continuous Improvement

  • Identify and resolve root cause issues by working collaboratively with cross-functional teams to minimize the repetition of original issues.
  • Maintain a thorough understanding of arenaflex systems, including P21, OS ticket, CribMaster, and Autocrib, as well as supplier systems and websites.
  • Perform all work in accordance with company-prescribed ISO processes and procedures, utilizing appropriate company systems.
  • Perform additional duties as assigned by leadership.

Essential Qualifications and Skills

Technical Skills

  • Proficiency in basic computer operations, with the ability to quickly learn and adapt to new software programs.
  • Willingness and ability to learn and apply experience with vending platforms such as CribMaster and Autocrib.
  • Proficiency with the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
  • Experience with industrial distribution software and ERP systems is highly valued.

Industry Experience

  • Previous experience in the industrial field, B2B sales, and/or customer service is preferred.
  • Familiarity with cutting tools, abrasives, and MRO (Maintenance, Repair, and Operations) areas is a significant plus.

Education and Experience Requirements

  • High school diploma or equivalent is required.
  • A minimum of one (1) year of previous experience in customer service or inside sales is preferred.
  • Experience in cutting tools, abrasives, and MRO product categories is highly desirable.
  • Proven experience with the Microsoft Office Suite is required.

Supervisory Responsibilities

This position does not carry direct supervisory responsibility. However, as a valued member of the arenaflex team, you will be expected to demonstrate leadership through your commitment to excellence, your willingness to mentor peers, and your embodiment of our Core Behaviors.

Work Environment and Physical Demands

The Customer Service Representative role at arenaflex is primarily office-based and involves regular interaction with computers, phones, and other office equipment. Specific requirements include:

  • Ability to speak and understand English clearly and effectively.
  • Capacity to stand, walk, sit, and use hands to finger, handle, or feel objects, tools, or controls.
  • Ability to reach with hands and arms and to use a computer and other standard office equipment.
  • Frequently required to lift and/or move up to 50 pounds.
  • Specific vision abilities required include close vision and the ability to clearly focus vision.

Personal Protective Equipment (PPE) Requirements

A wrist rest for keyboard and mouse pad use is provided to ensure ergonomic comfort during your workday.
