Position Overview

As a Remote Office Clerk & Data Entry Operator at arenaflex, you will play a vital role in ensuring the smooth flow of daily administrative operations. Your responsibilities will span across data entry, document management, report compilation, reconciliation, and interdepartmental communication. You will be the organizational engine that keeps records accurate, processes running efficiently, and teams connected.

This role is ideal for individuals who take pride in precision, enjoy structured work, and excel at managing multiple priorities in a fast-paced, remote environment. You will be using Microsoft Office applications including Excel, Outlook, and Word, along with various industry-specific software platforms, to support arenaflex’s operational goals.

Key Responsibilities

Data Entry and Transaction Management

  • Accurately enter daily work orders into internal systems and databases, ensuring all information is captured correctly and in a timely manner.
  • Process high volumes of data with a minimum typing speed of 40 words per minute, maintaining accuracy and consistency across all entries.
  • Review and verify data for completeness and correctness before submission, flagging any discrepancies for follow-up.
  • Update and maintain electronic records, files, and logs to ensure data integrity across the organization.

Report Assembly and Reconciliation

  • Compile, assemble, and format daily, weekly, and monthly reports for various departments and leadership teams.
  • Reconcile reports by cross-referencing data from multiple sources to identify and resolve inconsistencies.
  • Prepare summaries and visual representations of data using Excel, including charts, tables, and pivot tables as needed.
  • Distribute finalized reports to relevant stakeholders in a timely and organized manner.

General Clerical and Office Support

  • Perform traditional clerical duties including filing, copying, faxing, and scanning documents as required.
  • Organize and maintain digital and physical filing systems to support efficient records management.
  • Handle incoming and outgoing correspondence, including emails and mail, ensuring prompt and professional communication.
  • Provide administrative support to various departments, assisting with scheduling, documentation, and project coordination.

Communication and Collaboration

  • Maintain excellent communication with various departments across arenaflex to ensure alignment on tasks, deadlines, and priorities.
  • Respond promptly to internal inquiries and requests, demonstrating professionalism and a customer-service mindset.
  • Collaborate with team members to streamline administrative processes and improve overall efficiency.
  • Participate in virtual team meetings, training sessions, and check-ins as scheduled.

Additional Duties

  • Take on other duties and projects as assigned by supervisors or management, demonstrating flexibility and a willingness to learn.
  • Contribute to continuous improvement initiatives by identifying opportunities to enhance workflows and reduce errors.
  • Stay current with company policies, procedures, and software updates to maintain compliance and efficiency.

Essential Qualifications and Experience

  • Minimum 1 year of data entry experience in an operations, administrative, or service-oriented environment, with a typing speed of at least 40 words per minute.
  • Minimum 1 year of office clerk experience, demonstrating familiarity with clerical procedures, document management, and administrative workflows.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word, with at least 1 year of hands-on Excel experience preferred.
  • Strong organizational and prioritization skills, with the ability to manage multiple tasks and meet deadlines consistently.
  • Exceptional attention to detail and accuracy, ensuring that all data entry, reports, and records are error-free and properly maintained.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with team members and departments across the organization.

Preferred Qualifications

  • Experience working in the recycling, sustainability, or waste management industry is a plus but not required.
  • Familiarity with industry-specific software platforms and enterprise resource planning (ERP) systems.
  • Prior experience working in a fully remote or hybrid administrative role.
  • Knowledge of basic accounting or reconciliation processes.
  • Ability to adapt quickly to new tools, technologies, and processes.

Physical and Work Environment Requirements

While this is a fully remote position, the role requires the ability to perform standard office and administrative tasks from a home office setup. This includes:
