Job Summary The job manages academic, research, clinical or administrative programs of the University. The Program Administrator will report directly to the Departmental Chair and will be primarily responsible for managing the Department of History’s communication, curriculum, events, and teaching support needs.

Responsibilities

Aid the faculty Curriculum Committee in implementing policies and reforms with graduate and undergraduate curriculum. Coordinate the Departments curricular offerings.Work directly with chairs of GSAC and UGS in shaping the curricular offerings and work with faculty Curriculum Committee to incorporate AIP, TF, and postdoctoral course offerings into a coherent department curriculum. Manage quarterly and annual course schedules and manage cross lists with other departments. Manage summer course offerings, partnering with Summer Session Program. Coordinate with Registrar’s Office, History’s undergraduate and graduate program, and the College master’s office. Maintain annual college catalog and graduate announcements. Maintain course database. Maintain course offerings on website. Collaborate with department faculty and staff to understand reporting requirements and anticipate reporting needs to provide accurate, clear, and timely reports. Liaise with the faculty website Coordinator. Ensure communication materials are clear, accurate and align with University standards. Create and maintain content for websites, newsletter, social media, and other channels. Manage and support internal department communication (list serves, email, Box, calendars, etc.) Keep department staff updated on relevant emerging technology trends and tools. Completing other design and editing tasks as required. Work with the Teaching Committee on matters related to teaching. Manage the quarterly Teaching Assistant appointments. Manage Von Holst Prize Lectureships and other teaching related hiring processes. Manage course-related room reservations. Process desk copy orders. Serves as the department support regarding Canvas, Library reserves, IT in classrooms and other course-related support. Provide support for the department public lectures and initiatives. Manage budget, track and reconcile expenses. Coordinator with vendors (caterers, audio-visual providers, etc.) Oversee event logistics including invitations, guest lists, schedules, lodging, space reservations, and transportation. Manage day-of event operations, ensuring successful execution. Uses moderate/solid understanding and experience to administer the delivery of services to program participants and/or beneficiaries. Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate. Performs other related work as needed.

Minimum Qualifications

Education: Minimum requirements include a college or university degree in related field. Work Experience: Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline. Certifications: --- Preferred Qualifications Education: Bachelor’s degree. Experience: Minimum two years, with five years preferred of administrative experience in academic affairs or student affairs. Experience coordinating academic programs. Experience with standard productivity software (MS Word, Excel, Adobe), presentation software, and internet database/workflow tools required, experience with registrar and student database systems. Experience with social media platforms and website administration. Preferred Competencies Excellent organization, communication, and interpersonal skills. Demonstrated flexibility and adaptability to changing demands and pace of work. Attention to detail, ability to manage multiple tasks simultaneously. Ability to work effectively on teams and independently. Ability to translate strategic goals into practice.
