Key Responsibilities – What You’ll Do Every Day

  • Client Record Management: Enter, verify, and maintain client status records in the Statewide Client Service Center, ensuring that every entry reflects the most current production pipeline.
  • Digital Communication Tracking: Monitor incoming emails, log documents, and capture communications within the Monday.com platform, guaranteeing that no piece of information is lost or overlooked.
  • Database Compliance: Follow arenaflex’s program guidelines for all required database systems—including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, and In Demand—to uphold data integrity and meet funder expectations.
  • File Organization: Maintain both digital and paper participant files in strict accordance with program policies, ensuring confidentiality and audit readiness at all times.
  • Collaboration & Communication: Work closely with program staff to streamline information flow, support service delivery, and promote consistency across all client touchpoints.
  • Clerical Support: Perform routine administrative duties such as filing, preparing mailings, handling phone coverage, and assisting with ad‑hoc projects as needed.
  • Remote Work Discipline: Remain available for virtual meetings, conference calls, and email correspondence, demonstrating reliability and professionalism in a fully remote environment.

Essential Qualifications – What You Need to Succeed

  • Associate degree in Business Administration, Human Services, Information Management, or a related field – or equivalent professional experience.
  • Minimum of two (2) years of experience in a human services setting, nonprofit organization, or a role that involved direct interaction with diverse, low‑income populations.
  • Demonstrated proficiency with data entry, record‑keeping, and database management tools; prior experience with Monday.com or similar project‑management platforms is highly desirable.
  • Strong written and verbal communication skills, with the ability to convey complex information clearly and concisely.
